Goals and Objectives:

  • Assist VP of Operations with member enrollment, data management, and administrative support
  • To provide professional, seamless communication with members, guests, and prospects and to departments and team members
  • To provide exceptional experiences and memories for members and guests, and prospects prior to, during, and after their visits

Responsibilities:

Membership Enrollment and Data Management:

  • Knowledge of Club Documents and ability to convey to new members or prospective members
  • Preparing National Golf Memberships and Full Golf Memberships documents
  • Coordinating with members, members attorneys, or business managers, answering questions pertaining to the documents, facilitate the signing of documents
  • Sending out Member Welcome Emails to Club Operations
  • Performing Member Orientations
  • Summary of Club Accounting processes, dues, statements, schedule of fees expected charges.
  • Creating Jonas Accounts:
    • Create Jonas accounts, update them upon births, deaths, marriages in Member's families
    • Work with accounting to activate dues upon noted joined dates, track dues, prorations, dues activations, etc.
  • CRM Entry (Club Essentials/Member Website) Update frequently, Member on Island information, track arrivals, obtain needed preparations to mitigate to Ops teams
  • Updating Membership logs

Support and Administration:

  • Provide administrative and clerical support to the VP of Operations
  • Maintain and continually update the database files and hard copy files, including Member, member family (spouse, children, ages, etc.), and Discovery Land Company contact information
  • Carry out special projects as assigned
  • Send out member communication on behalf of VP of Operations
  • Maintain all operational records, files, and correspondence
  • Organize and file necessary documents
  • Communicate with Sales & Marketing with specific inquiries as related to real estate transactions
  • Mail out Member Christmas Cards, Birthday, Anniversary Announcements, Club Schedules, Member Events
  • Obtain Notary Public License and perform services as needed

Member Services:

  • Assist members with reservations either on the property or off property for dining, airport pickup, outdoor excursions, etc.
  • Assist Member Services with data entry, club calendars, and member communications
  • Occasional oversight of retail space if Retail Manager is not present
  • Be present for member events and special activities to assist where needed

Skills and Qualifications

  • Demonstrates respect for and appreciation of Hawaiian values, history, and culture, understanding its implication in one's work, in fostering meaningful relationships, and in embracing the community served
  • Bachelor's degree preferred
  • Prior experience in the hospitality or service industry required
  • Positive attitude, professional demeanor, and exceptional communication and interpersonal skills to deliver service to members, guests, and team members
  • Knowledge of and ability to operate computer and communication platforms (i.e. Jonas, Club Essentials, Alice) Proficient in Microsoft Office programs
  • Ability to work in a team environment
  • Ability to stay calm and focused during the busiest of times
  • Ability to work a flexible schedule, including evenings, weekends, and holidays
  • Exceptional verbal and written communication skills
  • Must possess a high level of confidentiality and discretion
  • Excellent attention to detail, accuracy, and organizational skills
